Transform your Existing Enterprise Infrastructure

into a Powerful Automation Management Platform with Enterprise-Class Workflow Capabilities your staff will actually want to use

FORMVERSE’s patented technology leverages your existing IT infrastructure, transforming it into a powerful application development and automation platform.  Automation applications can be created for nearly any use case, in any department, for any purpose, and by any user.  These applications can be accessed by users in multiple methods: from a browser, smartphone or tablet, or directly from within their existing Microsoft Outlook, Microsoft Office 365 email, or Gmail/G Suites if desired.  Users can be internal (normally employees or consultants) or external (vendors, customers, prospective customers, suppliers, regulators, etc.). At every step, all data, metadata, and attachments are automatically stored within the database.  Authorized users may then access real-time reporting also from any of the same access methods.  Further, FORMVERSE has the ability to bi-directionally integrate data to and from your other enterprise applications in quite sophisticated ways. In effect allowing users to enter data into simple screens that act as a single interface to almost any enterprise application such as ERP’s, HRIS, Content or Document Management Systems, Ticketing Systems, Financial Reporting systems, and many others.  This powerful functionality provides great benefit for FORMVERSE customers.

EMBEDDED STRUCTURED APPLICATIONS IN BROWSER, MOBILE OR EMAIL

FORMVERSE delivers embedded XML-based applications that enable data to be collected directly from browsers and/or within the same email system used by all employees the better part of any business day.  Data is captured in a structured manner, which allows automated processing of information via processing rules, automated extraction and storage in a SQL database, as well as bi-directional integration with virtually any other enterprise application. Customers experience high user adoption rates since there is no concept of requiring users to use “yet another” application.

POLICY-DRIVEN APPLICATIONS

Each FORMVERSE application is designed to meet YOUR requirements and specifications! Each instance of these applications operate in accordance with these requirements and specifications to ensure that vital data and information important to the participants will be processed and actioned appropriately and in a timely manner. Need reminders – no problem. Need to escalate in certain circumstances, but not others— all standard. Need to route to one user, 50 users or 5000 users at the same time— of course. Need customer triggers to occur to move the workflow forward – fully supported in sophisticated ways. All of these functions and many more are fully-supported within FORMVERSE and completely automated/auditable too! Easy to implement for both simple and complex automation use cases.

USER-TRANSPARENT ACCESS TO FORMVERSE APPLICATIONS DIRECTLY WITHIN EMAIL (Microsoft Outlook/Microsoft Office 365 Email, Gmail/G Suites)

If desired, FORMVERSE emails containing electronic data entry screens can be accessed by your staff directly from within their email. Whether your organization uses Microsoft Outlook, Microsoft Office 365 email, or Gmail/G Suites email, users can initiate applications, “take action” on items routed to them and have access to real-time reporting all directly from within their existing email user interface. These FORMVERSE applications are sent/received as regular emails and can be managed/archived just like regular emails.  While using FORMVERSE in conjunction with your existing email infrastructure, the FORMVERSE applications use email as the transport mechanism to route to users in accordance with your specific rules. Once action is taken, your users may delete any email, since reporting and audit functions use data automatically stored within the SQL Server database. Nothing is required to be installed on your email servers.  Integration is simple and instantaneous.

FORMVERSE ACCESS RIGHTS

FORMVERSE administrators can define specific rules regarding which users have access to which applications. Access rights can even apply on a field-by-field basis. Additionally, once access rights are defined, authorized users can initiate a new instance right from within their existing email or by accessing the same applications from within the FORMVERSE Web App using a PC, Mac or mobile device. Once selected, the screen appropriate for that specific user is displayed. The user completes the fields, can add attachments and sends.

FULL INTEGRATION WITH ACTIVE DIRECTORY (AD) AND SINGLE SIGN-ON (SSO)

Integration with your Active Directory, integration with your Single Sign-On (SSO) service, as well as access to your organization’s hierarchical/reporting structure (whether maintained in Active Directory or within your HRIS) is fully supported. This approach provides customers with several options for automating processes.

FORMVERSE RULE DEFINITIONS

FORMVERSE administrators can define specific rules for the processing of FORMVERSE applications to ensure that actions are routed to the appropriate participants until the entire process is completed. Processing rules, Routing Rules, and Initialization rules also determine if and when data contained within a FORMVERSE data entry screen should be extracted and where that data should be delivered (e.g., an enterprise application or database).

WORKFLOW EXECUTION CAPABILITIES

The FORMVERSE system can execute both simple and complex business workflows against pre-defined access and processing rules. Business workflows and routing rules are designed using the FORMVERSE Workflow Editor, an intuitive and user-friendly graphical editor. Visualized workflow diagrams provide a straightforward way to review, understand, simplify, and create even the most complex business processes. These workflow rules are designed without entering a single line of code, so individual departments or business units can create, control and manage their own workflow applications.

ANY-DEVICE ACCESS FOR A MOBILE WORKFORCE

Your staff can initiate and take action on workflows from any browser-enabled device including desktops, laptops, smartphones, and tablets. They can also take the same actions from within their existing Microsoft Outlook or Office 365 email. Regardless of the entry point, all data is stored within the same SQL Server database. Additionally, these users can access reporting and application and workflow history even outside of their email client for information and audit purposes.

REAL-TIME REPORTING FOR AUTHORIZED USERS

Your staff can now run powerful real-time reports right from within any device. Reports are available for authorized staff whether they are an originator or a participant in the process. Reports may also be configured to allow specified users (management, department heads, executives, etc.) to access all application data regardless of their participation in any application.  Reporting functions allow customers to create reporting dashboards which enables users to generate reporting data in ways meaningful to them. Reports are completely customizable and can include all form data, metadata, and attachments.  Additionally, FORMVERSE reporting can easily be integrated with Data Visualization tools (such as Tableau, Qlik Sense or Microsoft Power BI), if desired.

BI-DIRECTIONAL INTEGRATION WITH OTHER ENTERPRISE APPLICATIONS

FORMVERSE can be used as an effective way to securely collect data, which can then be extracted based on defined processing rules and integrated with enterprise applications and databases. FORMVERSE Applications can be a simple user interface to nearly any enterprise application. FORMVERSE applications can access any number of external data sources and provide access to that data directly from within the application. Based upon the customer’s requirements, this access can include direct connection to the source database, if desired.

Or, upon completion of a new hire, FORMVRSE PASSPORT can automatically initiate a “New Employee Onboarding” process to begin.

CAPTURE AND ESCALATION OF INCOMING EMAIL

Monitoring specified email accounts to determine if arriving emails meet specified parameters.  In which case, PASSPORT will parse email content into specific elements and automatically route the email content based upon customer-specified rules.

AUTOMATED DATA INTEGRATION WITH OTHER SYSTEMS

Monitor the FORMVERSE database for data meeting customer-specified conditions.  When the conditions are met, PASSPORT can integrate form data into the customer’s other enterprise systems, such as ERP’s CRM’s, HRIS, Ticketing Systems, Document or Content Management System.  An example might be that once a new manufacturing contract is finalized, FORMVERSE can begin a new workflow instance to insure that appropriate parts are in stock and available or need to be procured.

AUTOMATE DOCUMENT STORAGE AND ARCHIVING:

Enable applications that include attached files that can be stored in alternate locations, such as a Document or Content Management system, an alternate enterprise application, a file share location, etc.  An example might be that Equipment Inspections are performed using FORMVERSE, but all supporting documents (such as Equipment Photographs) are automatically stored in a specified directory within Microsoft SharePoint.  These supporting documents have a unique ID assigned and can then be accessed by users through FORMVERSE Reporting or via History functions.

AUTOMATED DOCUMENT CREATION:

Allow users to enter data into an application, allow that data to be reviewed by designated users, then integrate the structured data into a word processing system, such as Microsoft Word, and deliver the document to users ready to be signed by a customer.

AUTOMATED REPORT GENERATION AND DELIVERY:

FORMVERSE can automatically create reports based on the customer’s specifications and requirements in any format and deliver those real-time reports to variable users without the need for human intervention.
